Vendor quotes and invoices
Ask a vendor for a quote, approve it, approve the invoice (over budget with a note), and it becomes a cost of the move.
- 1Ask for a quoteCase file → Relocation → Quotes and invoices → Ask for a quote: pick a vendor on the household (one with a contact email, or that uses Settio) and the topic, and say what you need. The vendor gets an email with a personal link to upload the quote: a PDF or a photo, with the price and how long it's valid. The link works for 14 days and needs no account; Send a new link when it runs out. A vendor that uses Settio can also upload it from its own view of the case. Got the quote by email instead? Add the quote you received.
- 2Approve the quoteReceived quotes show To approve in Relocation on the Case file tab and on Home → Spend to approve. Approving sends the vendor a link for the invoice. A quote past its valid-until date expires; ask for a new one.
- 3Approve the invoiceThe vendor sends the invoice through the link (or its workspace), or you add one yourself. When approving it would take the move over budget (the approved estimate's line or total, or the tier's relocation budget), the card warns and asks for a note saying why. The approved invoice is added to the costs with its topic; mark it paid when it's paid.
- 4Who approvesThe employer's Admins (at a company whose cases an agency runs, its Admins and Members) approve any amount. Set an approval limit in the relocation policy (Settings → Company details) and Members approve quotes and invoices up to it, in SEK. Above the limit, in another currency, or with no limit set, it goes to the employer's Admins. On a client's case the agency never approves the client's money: the client does.
- 5Pass it on and export itAn agency can Re-bill to client an approved SEK invoice: it's added to the client's billing at cost (no VAT) with the next invoice basis. Reports → Exports → Vendor invoices downloads approved and paid invoices as CSV for the finance team.
Quotes and invoices are kept apart from the person's documents: the document check doesn't read them.
Vendors only see their own quotes and invoices, never the rest of the case.
