How a step is done: offices, paperwork and forms
Each step says how it's done, where, what to bring and what its documents need (apostille, translation, how recent), with official forms filled from the case.
- 1Open the stepA step's panel shows How (online, in person, by post, through an agent, at a service centre or on the employer's own account, and who must come), Where (the office with Directions and Book a time, or Find nearby for a bank or health centre), Bring, Documents and While waiting (may the person work and travel). The employee sees the same panel in the portal.
- 2Who ticks itOnly an online step is completed by the document check. A step done at a counter, by post or through an agent waits for someone to tick it (uploading the passport doesn't mean the visit happened), unless the visit's own paper is the proof, which its panel says. Someone else does it… hands a step to the home employer, outside counsel, a partner agency or a translator.
- 3The document's paperworkA certificate that must be legalised and translated shows its chain inside the open step: Original → Apostille or Consular legalisation → Translation → Handed over, each link with its date. Where it was issued decides which legalisation (none between EU member states for the civil-status documents Regulation (EU) 2016/1191 covers, none for a document of the destination); what Settio can't tell is shown as a question.
- 4Planned back from the dateThe chain is planned back from the step's appointment, else its due date, with your playbook's lead times (Start by …), and when it can't make it, the step's row says how many days the paperwork needs. Record where the original is (received, held, sent with a tracking number, returned), and mark the appointment Attended or Missed.
- 5Fill formA step with an official form offers Fill form: the authority's own PDF with what Settio knows filled in, the rest left for you, signed by hand. What will be filled? names the required fields still missing. Where the PDF can't be filled you get a values sheet in the form's order.
- 6Powers of attorneyDetails → Powers of attorney records who may act for the person or their employer, before which authority, until when, with the signed document. A power signed in Settio appears by itself; Settio reminds your team a month before one ends and on its last day.
Offices and consulates: where Settio's directory knows the office for the city, Where shows it, marked Settio directory with its source; your playbook's office comes first. A visa step shows the destination's consulate for where the person lives now (Details → The move → City or region lived in before the move).
Track a document's paperwork (on a step done in person, by post or by an agent) adds a document the rule doesn't list; rule updates never remove it.
A document that must be recent warns on its step when the file's issue date will be too old on the planned filing day; the filing step warns when the passport runs out before the intended end of the permit.
An interim receipt: enter Valid until under How and Settio reminds you a month and a week before it runs out. A medical step records Passed, Needs a repeat or Not passed, never a reason.
Where a country runs procedures in several languages (Belgium), the wizard and Details → The move ask which one, and Settio writes its letters and forms in it.
The employee sees their part of the paperwork in the portal's Docs: get the original and the apostille or legalisation, with the dates.
